Hey Stephanie,

If there’s one place almost every business owner feels the squeeze, it’s the inbox. It grows faster than we can keep up with, and before long, emails start dictating our day instead of supporting it.

But here’s the good news,  you don’t need a full overhaul to feel relief. Ten minutes is enough to shift your inbox from chaos to calm.

I’ve worked with so many clients who felt behind on email every single day… until they tried a simple triage routine. Once they had a plan, everything felt lighter and more manageable.

Here’s the exact method I use behind the scenes to help clients (and myself) stay on top of things without spending hours in email.

💫 The 10-Minute Inbox Triage

Set a timer for 10 minutes. During that time, do only these three things:

1. Flag what needs thoughtful attention.

Client questions, tasks, decision-heavy messages — flag them so you can handle them later with focus, not panic.

2. File anything you don’t need to see again right now.

Receipts, confirmations, newsletters you want to keep — get them out of sight and into a folder.

3. Respond only to what takes 60 seconds or less.

Simple yes/no answers. Quick confirmations. Easy replies. This clears surprising amounts of mental space.

That’s it. No overthinking, no rearranging, no perfection.

A little structure goes a long way.

💫 What About the Emails You Saved for Later?

Your flagged messages deserve your best focus, not rushed attention. Choose one small block of time each day, even 15 minutes, to return to those thoughtfully.

And your “Hold for Reference” folder? Check it once a week. Most weeks, you’ll only need a few minutes to clear or file things permanently.

This gentle rhythm keeps your inbox flowing without letting anything pile up or slip through the cracks.

💫 Worth a Peek

Try creating just two folders to start:

  • “Action Needed” -> flagged messages you’ll return to with intention
  • “Hold for Reference” -> anything you might need but don’t need now

You don't need a complicated system. You just need a consistent, gentle way to get the clutter out of your head.

A calmer inbox isn’t about staying on top of every message — it’s about giving yourself a way to manage the noise. And 10 minutes really is enough to start feeling lighter.

With calm and clarity,
